Where Guest Journeys Fall Short Today

Three things hotel teams tell us they want fixed first.

A Queue Before the Welcome

Guests travel for hours, then wait at the desk to hand over details you could have collected before they arrived.

Messages That Slip Through

Requests arrive by WhatsApp, email, and phone. Some get missed, some get answered twice, and few in the guest's own language.

Starting From Scratch Every Stay

Preferences live in notebooks and people's heads, so returning guests have to explain themselves all over again.

What changes

Make every guest feel expected, not processed.

Check-in, messaging, keys, and requests all run from one guest profile, so every team member knows who they're serving and what that guest needs next.

Your rollout

Fast setup.
Lifelong support.

We handle the heavy lifting, so your team keeps running the hotel. Four simple steps get you live, and our support and training stay with you for as long as you are with us.

Kick-off

Start with a call

A call with the team who will set you up. We confirm which products you are going live with, how they connect to your property management system (PMS), and who your point person at the hotel will be.

Setup

You brief, we build

You complete one setup form: your PMS, guest channels, logo, and colours. We build your guest pages, connect your systems, and test everything with example requests and bookings before any guest sees it.

Training

Hands on, not slides

One live session online, around one hour, where your team uses the platform rather than watching someone else use it. Your head concierge can train the rest, with product guides to hand.

Go live

Welcome the first guest

Guests start using it and your team already knows it. Go live is the start, not the finish. Our support and training stay with you, from day one to the next new starter.

Fully integrated

Your systems, finally talking to each other.

You do not need more software. You need fewer tools that work together. Alliants puts the whole stay in one place.

The Basics

What does Alliants do to help us deliver five-star guest journeys?

It connects every step of the stay to one guest profile. Guests check in on their phone before they arrive, open their door with a key on their phone, and message you in their own language. Requests are tracked until they are done, and preferences stay with the guest. Your team always knows who they are serving and what that guest needs next.

Which Alliants products make up this solution?

Four products do the main work. Alliants Digital Keys puts the room key on the guest's phone. Alliants Messaging brings every guest conversation into one inbox, with translation. Alliants Concierge plans and tracks everything a guest asks for. Alliants Core Platform holds the one guest profile behind them all. Online check-in comes from Alliants Contactless, and guests find it all in the Alliants Guest App.

Who on our team uses it day to day?

Front office, guest services, concierge and department teams, depending on the product. Front office sees arrivals and key status, guest services and department teams answer messages and work requests, and concierge plans bookings and vendors. IT teams see and manage keys alongside the desk. Each person sees only the modules and properties their permissions allow.

How is this different from how most hotels cope today?

Most hotels still queue guests at the desk to collect details they could have had earlier, check WhatsApp, email and the phone separately, and keep preferences in notebooks. Here, check-in happens before arrival, every channel lands in one shared inbox, and requests and preferences sit on one guest profile that every team, at every property in your brand, can see.

Does it replace our front desk or our property management system?

No to both. Guests who want a conversation still get one at the desk, and those who prefer their phone skip the queue. It works alongside your property management system (PMS), which still drives check-in, check-out and room changes. Alliants Digital Keys follows what your PMS says, so keys are issued, reissued and switched off without anyone having to remember.

For Your Guests

What do guests do before they arrive?

With Alliants Contactless, guests work through a short checklist on their stay page, prefilled from the booking. They review their details and any additional guests, choose an arrival time within the hours you allow, add a payment card in the payment provider's secure form, and sign your registration card and terms. ID verification on their own phone is also possible if you switch it on. The checklist shows what is done and what is left.

How do guests get and use their room key?

Once checked in, iPhone guests add their room key to Apple Wallet from the guest web app and open the door with a tap of their iPhone or Apple Watch. Every room on a booking gets its own key, and a new one is issued if the guest changes room. Android guests can use your hotel's own app, and Google Wallet keys exist on some lock systems, so ask your Alliants contact what your property supports.

Can guests message us in their own language?

Yes. Guests write on the channel they already use, such as WhatsApp, text message, email or web chat, and every channel lands in one shared inbox. Messages are translated both ways across more than 100 languages, so guests write in theirs and your team replies in theirs. Staff always see the guest's original message beside each translation.

How do guests follow their plans and requests during the stay?

Alliants Concierge gives guests a live digital itinerary in the guest web app, with their stay, requests and dining reservations on one timeline that opens on today. Guests see status labels you write for your brand, and only the request fields you mark as guest-visible. They can get a calendar invite for any confirmed plan, and book restaurants from the itinerary where SevenRooms is connected.

Will returning guests have to explain themselves again?

No. Each guest has one profile holding contact details, room preferences, bookings, requests and conversations. A preference captured at check-in is visible to every team, at every property in your brand, straight away, so a returning guest is recognised rather than asked the same questions. Guests can also update their own contact details in the guest app, and changes go back to your property management system (PMS).

For Your Team

What does the front desk see before a guest arrives?

A dated queue of upcoming arrivals with each guest's check-in status. Staff assign rooms and submit check-in on a guest's behalf, and each booking has a check-in sheet showing every completed step and the signed registration card. You can also switch on automatic room assignment property by property, so a guest who completes check-in is approved and can be sent a key straight away.

What stops a guest message being missed or answered twice?

Everything arrives in one shared inbox. Text message and WhatsApp messages from the same guest merge into one conversation, each channel routes to a default department, and staff can assign, transfer or bring in a colleague. Internal notes and @mentions keep handovers in the thread, and your rules escalate any message that waits too long. A closed conversation reopens if the guest writes again.

How do requests get tracked until they are done?

Staff turn a message into a request in one click and see its status in the conversation. In Alliants Concierge, requests sit in one inbox with table, board and calendar views, and timers flag any request stuck too long in one status. Jobs can be dispatched to HotSOS or Knowcross for housekeeping and engineering, and every change is recorded with who made it and when.

What happens if a digital key goes wrong?

Your team can switch a key off at once from the keys screen, for example if a guest loses their phone, then issue a new one. Checked-in bookings with no key show as rows the desk can follow up. A key that fails to issue is recorded, retried on a schedule and flagged to your team, and retries never create a second live key.

How does the team know a guest's preferences and history?

Open the guest profile from anywhere in the app. It shows contact details, memberships, room preferences, bookings, requests, conversations, consent and a change log in one place. Likely duplicate profiles are ranked in a review queue for your team to confirm, and fields a colleague has corrected are locked, so the next system sync does not overwrite them.

Set-Up and Integrations

Does Digital Keys work with the locks we already have?

Yes, if your property runs a supported lock system: Salto, dormakaba (including Ambiance, System 6000 and LEGIC) or Assa Abloy (including Vostio). You choose the lock system for each property, and we set up the lock connection during onboarding. The Alliants Staff App then shows whether each property's lock system is reachable and which key types it supports.

Which property management systems does it connect to?

Alliants Core Platform connects to Oracle OPERA Cloud, HotelKey, Shiji, Apaleo, Mews (switched on per property), StayNTouch, Infor HMS and iReckonu. Check-in, check-out and profile edits go back to your property management system (PMS), and a failed write-back shows in the staff app with a retry. We confirm your exact systems before you commit.

Which dining, spa and service systems does Concierge connect to?

Alliants Concierge works with SevenRooms for restaurants, Inntopia for activities and Zenoti for spa treatments, plus HotSOS and Knowcross for service orders. Guests can also book spa treatments on SpaSoft, and tables at restaurants on OpenTable, where your systems are connected. Availability depends on your property, so ask your Alliants contact.

How do we set it up across several properties?

The platform is organised by brand, property and department, and modules are switched on per brand or property. We switch each module on for your brand, then configure every property during onboarding: lock system and wallet settings for keys, check-in steps and arrival hours, channels and business hours for messaging. Head office sets standards once, and each property adapts what it needs.

Do guests or staff have to install anything, and does it carry our brand?

No installs. Staff use alliants.ai in any modern browser, and guests use a web app that opens from a link. Wallet keys live in Apple Wallet on the guest's iPhone. The guest app carries your colours, logos and fonts and can run on your own web address. If you have your own mobile app, a documented guest interface can power it too, depending on your property.

Security and Data

Is Alliants certified for information security, and where is our data hosted?

Alliants is ISO 27001 certified. Data is hosted on Amazon Web Services in one regional deployment for your brand: Europe, the United States or Asia Pacific. Each brand has its own dedicated database, guest data is never matched or shared with another brand, and data is encrypted in transit.

How do you protect digital keys and lock credentials?

Lock-system and wallet signing credentials are held in Amazon Web Services (AWS) Secrets Manager, never in the database. Wallet key and door PIN requests need a checked-in booking and are rate-limited per guest, and keys are fenced to the brand that owns the booking. Staff need separate permissions to view keys and to issue or revoke them. You can also require a verified ID before a key is issued, where available.

How are guest ID and signed terms handled at check-in?

Guests verify photo ID on their own phone only if you switch it on, and we capture their explicit consent first. The signed registration card is saved as a PDF, and the exact terms each guest agreed to are frozen at signing. Signatures and registration cards are stored privately and opened only by short-lived links. Every check-in, check-out and booking status change goes into an audit log.

How do our staff sign in, and who can see what?

Staff sign in with your own single sign-on (SSO), so access follows the groups in your staff directory, or with passkeys and passwords that meet your brand's rules. Multi-factor authentication can be required, and access ends the moment a colleague is deactivated. Roles are scoped to your brand, a property or a department, with separate permissions for sensitive guest details and exports.

What happens when a guest asks us to erase their data?

The request clears their data across related records, including conversations and registration cards, and keeps a record of what was cleared without holding any guest details. Data past your retention period is removed. Consent is held per channel and checked before any message is sent, and STOP or unsubscribe requests are honoured per channel.

Getting Started

Which bundles include these products?

The All-In Bundle includes all of them. Alliants Digital Keys and Alliants Contactless are in the Seamless Bundle, Alliants Messaging and Alliants Concierge are in the Signature Bundle, and Alliants Core Platform is in every bundle. Digital Keys is also in the Keys Bundle and Messaging is also in the Messaging Bundle. Pricing is agreed per contract, so talk to our team about the right fit for your properties.

How can we see it working in a hotel like ours?

Book 30 minutes with a Guest Experience Expert. Bring your current arrival process and we will walk through your guest journey with you and show where each stage gets easier. We will show you the products running in a hotel like yours and talk through how they would fit your properties and systems.

Where should we start if we cannot do everything at once?

You do not have to. Most hotels start with a bundle built around one goal, such as guest messaging, a smoother arrival or digital keys, and add more as they grow. Modules are switched on per brand and per property, so each hotel runs only what it needs. Your arrival process is a good place to begin the conversation.

How long does it take to go live?

It depends on the products you choose, how many properties you start with and the systems each one runs. Locks, check-in steps, channels and departments are configured property by property during onboarding. Talk to our team for a plan that fits your properties and a realistic timeline.
