The Basics
What is Payments?
Payments is how your team takes money and security from guests without handling a card: payment links, pre-authorisations and guarantees, saved cards, refunds, and cards passed straight to your property management system (PMS). Guests pay on a secure hosted page, and staff see the status on the booking.
Who on our team uses it?
Front office, reservations and finance teams. The front desk and reservations send links and secure stays, and finance uses payment lists, summaries and exports to keep the numbers straight.
For Your Guests
What do guests see when they pay?
A secure page from your payment provider. Guests type their card details into the provider's hosted form, with 3-D Secure where the card needs it, so card numbers never pass through Alliants servers.
Can guests save a card for later?
Yes. Guests save cards to their profile, see the card brand and last four digits, remove cards and choose which card covers a booking. Cards are held as tokens in the payment provider's vault, and guests signed in by room number cannot add, view or use cards.
Can guests add a card when they check in online?
Yes, if you switch it on. A check-in step asks guests to add a card for incidentals, limited to the card types your brand accepts.
Can a group split the bill?
Yes, on HotelKey properties where it is switched on. Guests see what is still owed and invite up to 10 people to pay an even or chosen share, each on their own payment page. Guests can also request a payment link for their own balance from the guest web app.
For Your Team
How do we send a payment link?
Choose what you need: collect a payment, collect card details only, or pre-authorise an amount. The link goes by email, text or both, in an email you design in the Engage editor or a message template. On HotelKey properties, staff send links from the booking sheet.
Can the AI assistant send payment links?
Yes, if you switch it on. Staff ask the AI assistant to send a payment link by email, text or both. The assistant proposes the link and a team member confirms it before anything is sent, so your team stays in control.
What stops a payment link going wrong?
Built-in safeguards. Links expire after seven days and are blocked for confidential rates and last-minute bookings. A template without the link in it is refused before anything is sent, and a link that could not be delivered can be copied instead.
Can we take deposits and pre-authorisations?
Yes. Place a hold on the guest's card as a guarantee or deposit, separate from immediate or deferred charges. You can capture all or part of it, increase it when the stay grows, or release it when it is no longer needed, and set a deadline for each guarantee.
Can we charge a saved card or give a refund?
Yes. Staff can charge a saved card later without the guest present, for example for incidentals. Refunds can be full or partial, always in the currency the payment was taken in, and each property and payment carries its own currency.
Set-Up and Integrations
Which payment providers does it work with?
Adyen, PayOne and Stripe (payment intents and refunds), with each brand and property using its own merchant account. Braintree, Cybersource, Elavon, FreedomPay, Shift4, Windcave, Payment Express, SIX Payment Services, Planet Payment, Global Blue, Shiji Payment and PXP are also possible. Availability depends on your property; ask your Alliants contact.
Can cards be passed to our property management system?
Yes. Staff send a guest's saved card into the reservation in your PMS, using network tokens where the card scheme supports them. Supported systems include Oracle OPERA Cloud, Mews (switched on per property), Apaleo, Infor, Shiji and Otalio. Cards can also be forwarded automatically ahead of arrival, and staff see each card's forwarding history.
How is Payments set up?
We switch Payments on for your brand and configure a merchant account for each brand or property during onboarding. Staff use alliants.ai in any modern browser, and guests use a web app that opens from a link, with nothing to download.
Security and Data
How does Payments handle PCI compliance?
Card entry uses the payment provider's hosted fields or pages, following the SAQ A model, and card data is vaulted by the PCI DSS Level 1 payment provider. Payments run in their own isolated service with separate credentials, and Alliants stores only the provider token, card brand, expiry and last four digits.
Is Alliants certified for information security?
Yes. Alliants is ISO 27001 certified. Security is built into the platform, from how staff sign in to how guest data is stored and erased.
Where is our data hosted?
On Amazon Web Services, in one regional deployment for your brand: Europe, the United States or Asia Pacific. Each brand has its own dedicated database, and data is encrypted in transit. Merchant and payment configuration is also encrypted at rest.
How do you handle guest data requests?
When a guest asks to be erased, the request clears their data across related records, and data past your retention period is removed. Payment and authorisation changes keep an audit trail.
